RoboYuwa operates on the twin pillars of **engineering excellence** and **uncompromising ethical stewardship**. By participating in RoboYuwa's workshops, competitions, online platforms, or becoming an active member, you enter into an institutional partnership committed to mutual respect, fiscal transparency, hardware safety, and democratic youth innovation across Nepal.

Agreement to Terms

Contractual relationship and acceptance threshold

These Terms of Service ("Terms") constitute a legally binding agreement entered into between you ("User", "Member", "Volunteer", or "Participant") and RoboYuwa Nepal ("we", "us", or "our").

By accessing our web portals, enrolling in our RoboLearn curriculum, volunteering in outreach programs, or registering as a member, you certify that you have read, understood, and agreed to adhere to these Terms and all incorporated guidelines established by our Office of Legalities & Governance.

Affirmative Acceptance: If you do not agree with all covenants contained within these Terms, you must immediately discontinue use of the platform and abstain from utilizing RoboYuwa resources.

Code of Conduct & Professionalism

Foundational behavioral standards for all team members and participants

RoboYuwa enforces zero tolerance for harassment, discrimination, or abusive conduct across all physical laboratories, online forums, Discord servers, and hackathons.

Mutual Respect & Inclusion

Fostering a welcoming and collaborative space regardless of province, ethnicity, gender, or technical skill level.

Academic & Tech Honesty

Plagiarism in hackathons, fabricating sensor metrics, or claiming unauthorized code as original is strictly prohibited.

Laboratory Stewardship

Treating communal microcontrollers, oscilloscopes, 3D printers, and robotics lab spaces with scrupulous care.

Brand Integrity

Refraining from unauthorized endorsements, political affiliations, or representations made under RoboYuwa's name.

Membership, Attendance & Accountability

Operational expectations across interdepartmental units

Membership in RoboYuwa carries both exceptional leadership opportunities and binding civic duties:

  • Attendance Mandate: Core and Executive members must maintain a minimum of 75% attendance at scheduled general assemblies, lab sessions, and departmental standups.
  • Interdepartmental Collaboration: Members must collaborate proactively across Technical, Outreach, Creative, Event, and Legal departments according to assigned project roadmaps.
  • Leaves of Absence: Members unable to fulfill responsibilities must file a formal leave notification with the Legalities and HR team at least 48 hours prior to meetings.
  • Termination of Membership: Unexcused absences exceeding 3 consecutive cycles or material breach of ethics will trigger formal review by the Executive Board and potential termination.

Intellectual Property & Open Source

Balancing organizational brand ownership with open hardware innovation

RoboYuwa is fundamentally committed to open-source software and open hardware methodologies that uplift Nepal's technology ecosystem:

  • RoboYuwa Proprietary Content: The official RoboYuwa emblem, brand identity, website code, and core institutional curricula are owned exclusively by RoboYuwa Nepal and protected under national copyright and trademark laws.
  • Student & Member Projects: Hardware designs, robotics firmware, and software developed by members remain the intellectual property of the inventors, licensed wherever possible under permissive licenses (such as MIT, Apache 2.0, or CERN Open Hardware Licence).
  • Attribution Requirement: Derivative projects built with RoboYuwa fabrication lab grants must acknowledge RoboYuwa as an incubator in their documentation.

Robotics Lab Safety & Workshop Protocols

Mandatory physical and electrical precautions in maker spaces

Hardware engineering inherently involves physical machinery, soldering equipment, and lithium battery chemistries:

  • Soldering & Thermal Equipment: Fume extraction and safety glasses are mandatory during high-temperature soldering, heat shrink curing, and hot-air reflow.
  • Battery Chemistry Safety: LiPo and Li-ion battery charging must occur in designated flame-retardant safety bags under direct adult supervision.
  • Rapid Prototyping Tools: 3D printers, CNC mills, and drill presses may only be operated following safety sign-off from the Technical Lead.

Grants, Sponsorships & Fiscal Transparency

Stringent financial integrity and PAN billing compliance

RoboYuwa is registered as a non-profit youth organization and enforces strict anti-corruption standards:

PAN Billing Mandate: In accordance with our official bylaws, all project expenditures, component procurement, and travel disbursements must be substantiated with official **PAN registered VAT/PAN invoices** under RoboYuwa's registered tax identification.

Interdepartmental sponsorship acquisition must be routed directly through the Legal & Outreach department for MoU execution. Personal solicitation of sponsors under RoboYuwa's guise without formal authorization is grounds for immediate expulsion and legal referral.

Conflict Resolution & Disciplinary Due Process

Fair hearing procedures and grievance mediation

Should disputes arise within teams, among leaders, or between event participants, the Legalities Department follows an impartial 3-tier due process:

  • Tier 1 — Informal Mediation: Confidential discussion between disputants facilitated by an assigned Legalities mediation officer within 5 days of report.
  • Tier 2 — Formal Inquiry Board: Convening an independent review panel comprising one executive board member, one legal officer, and one student ombudsman to examine evidence.
  • Tier 3 — Executive Determination: Binding adjudication with outcomes ranging from restorative counseling to temporary suspension or permanent expulsion from RoboYuwa.

Disclaimers & Limitation of Liability

Statutory exclusions and risk boundaries

All digital services, educational curricula, and open-source schematics are provided on an "AS-IS" and "AS-AVAILABLE" basis without warranties of any kind.

To the maximum extent permitted by the laws of Nepal, RoboYuwa, its directors, mentors, and volunteer executives shall not be liable for any direct, indirect, incidental, or consequential damages resulting from:

  • Electrical short-circuits, component damage, or physical injury arising from independent student assembly outside of supervised lab hours.
  • Unplanned service disruptions, third-party server downtimes, or communication gateway outages.

Governing Law & Jurisdiction

Statutory allegiance to the Federal Democratic Republic of Nepal

These Terms shall be interpreted, governed, and enforced exclusively in accordance with the sovereign laws of the Federal Democratic Republic of Nepal, without regard to conflict of law principles.

Any legal proceeding, petition, or litigation arising from or concerning these Terms that cannot be resolved amicably via internal mediation shall be submitted to the competent courts of Kathmandu, Nepal.
